Flexible Learning Association of New Zealand (FLANZ) Privacy Policy
This Privacy Policy (revised 26 July 2021) describes how your personal information is collected, used, and shared when you visit or make a purchase from https://flanz.org.nz (the “Site”).
Personal Information That We Collect
When you visit the Site, we automatically collect certain information about your device, including information about your web browser, IP address, time zone, and some of the cookies that are installed on your device. As you browse the Site, we collect information about the individual web pages or products that you view, what websites or search terms referred you to the Site, and information about how you interact with the Site. We refer to this automatically-collected information as “Device Information.”
We collect Device Information using the following technologies:
– “Cookies” are data files that are placed on your device or computer and often include an anonymous unique identifier. For more information about cookies, and how to disable cookies, visit http://www.allaboutcookies.org.
– “Log files” track actions occurring on the Site, and collect data including your IP address, browser type, Internet service provider, referring/exit pages, and date/time stamps.
– “Web beacons,” “tags,” and “pixels” are electronic files used to record information about how you browse the Site.
When you make a purchase or attempt to make a purchase through the Site, our third party payment gateways may collect certain information from you, including your name, billing address, shipping address, payment information (including credit card numbers email address, and phone number. We refer to this information as “Order Information.”
We may also require you to disclose Demographic Information such as who your employer is and your job role. This is so that we can ensure services are provided to Institutional Members (‘Affiliates’) are appropriate.
When we talk about “Personal Information” in this Privacy Policy, we are talking about Device Information, Demographic Information and Order Information.
Where we send your data
We share your data only through trusted internet service providers, through WordPress approved and verified plugins available directly through WordPress.com. These are mostly in New Zealand, Australia, Europe, Canada and the United States.
How We Use Your Personal Information
We use the Order Information that we collect to fulfil any orders placed through the Site (including processing your payment information, arranging for shipping, and providing you with invoices and/or order confirmations). We use this Order Information to:
- Communicate with you;
- Screen our orders for potential risk or fraud; and
- When in line with the preferences you have shared with us, provide you with information or advertising relating to our products or services.
We use the Device Information that we collect to help us screen for potential risk and fraud (in particular, your IP address), and to improve and optimize our Site (for example, by generating analytics about how our customers browse and interact with the Site, and to assess the success of our marketing and advertising campaigns).
We use the Demographic Information to ensure that we can provide the services promised to institutional members (‘affiliates’), Sponsors and Partners. We do not disclose individual member’s details to these organisations.
Sharing Your Personal Information
We do not sell your data. We share your Personal Information with third parties to help us use your Personal Information, as described above.
We use Google Analytics to help us understand how our customers use the Site—you can read more about how Google uses your Personal Information here: https://www.google.com/intl/en/policies/privacy/. You can also opt-out of Google Analytics here: https://tools.google.com/dlpage/gaoptout.
Finally, we may also share your Personal Information to comply with applicable laws and regulations, to respond to a subpoena, search warrant or other lawful request for information we receive, or to otherwise protect our rights.
As described above, we use your Personal Information to provide you with targeted marketing communications we believe may interest you.
Advertising
There is no targeted advertising on the FLANZ website.
Do Not Track
Please note that we do not alter our Site’s data collection and use practices when we see a Do Not Track signal from your browser.
Your Rights
You have the right to access personal information we hold about you and to ask that your personal information be corrected, updated, or deleted. If you would like to exercise this right, please contact us at webmaster@flanz.org.nz
If you are a European resident we note that we are processing your information in order to fulfil contracts we might have with you (for example if you make an order through the Site), or otherwise to pursue our legitimate business interests listed above. Please note that your information will be transferred outside of Europe, including to Canada and the United States.
Data Retention
When you place an order through the Site, we will maintain your Order Information for our records unless and until you ask us to delete this information. Where your data relates to purchases that have tax reporting requirements we may be required by law to retain your data. Membership data as entered by you will be stored for as long as your account exists .Your name and email details will be kept as described above for up to five years as part of a MailChimp list, to allow us to inform you of events, conferences and notices after you have deleted your account. You can unsubscribe from the MailChimp list at any time.
Minors
The Site is not intended for individuals under the age of 18.
Access to your data
Members of our FLANZ Committee who have named positions as portfolio holders of office holders have access to the information you provide us including membership subscriptions, payment dates and amounts, and username / email address.).
Payments
You share your details with PayPal and Stripe payment gateways when making any purchase through the website but FLANZ does not retain any financial data .
When processing payments, some of your data will be passed to PayPal or Stripe, including information required to process or support the payment, such as the purchase total and billing information.

Comments
Comments made on the site are enduring. If you cancel your subscription of membership, your comments are retained..
Media
Note that any uploaded files may be publicly accessible and these will be retained if you cancel your subscription or membership.
Plugin: MemberPress
MemberPress is the plugin used to manage Memberships. We collect information about you during the signup process as well as some basic activities such as the dates you make purchases, login to the site, or cancel/pause/resume your subscriptions with us. When you subscribe with us, we’ll ask you to provide an email address. We’ll use this information for purposes, such as, to: Send you information about your account and subscriptions. Plugin: EventsOn
We use Google services to generate maps and provide auto-completion when searching for events by location, which may collect data via your browser in accordance to Google’s privacy policy.
We collect and store information you submit to us when making a booking, for the purpose of reserving your requested spaces at our event and maintaining a record of attendance.
We collect and store information you submit to us about events (and corresponding locations) you would like to publish on our site.
We may use cookies to temporarily store information about a booking in progress as well as any error/confirmation messages whilst submitting or managing your events and locations.
Plugin: User Registration
We collect information about the user during the user registration form submission process on our site, as identified above.
Plugin: MailChimp
We send email through MailChimp. When processing emails, some of your data will be passed to MailChimp, including information required to process or support the email marketing services, such as the name, email address and any other information that you intend to pass or collect including all collected information through subscription. Plugin:WP Job Manager
This site adds the following cookies to help users resume job submissions that they have started but have not completed: wp-job-manager-submitting-job-id and wp-job-manager-submitting-job-key
Plugin: Akismet
We collect information about visitors who comment on Sites that use our Akismet anti-spam service. The information we collect depends on how the User sets up Akismet for the Site, but typically includes the commenter’s IP address, user agent, referrer, and Site URL (along with other information directly provided by the commenter such as their name, username, email address, and the comment itself).
Plugin: Jetpack
Jetpack is a backend system provided by WordPress.com. It provides a range of site optimisation tools, including site backups, search engine optimisation (SEO), site analytics and widgets. These include the administration of cookies.
Jetpack Comments
Data Used: Commenter’s name, email address, and site URL (if provided via the comment form), timestamp, and IP address. Additionally, a jetpack.wordpress.com IFrame receives the following data: WordPress.com blog ID attached to the site, ID of the post on which the comment is being submitted, commenter’s local user ID (if available), commenter’s local username (if available), commenter’s site URL (if available), MD5 hash of the commenter’s email address (if available), and the comment content. If Akismet (also owned by Automattic) is enabled on the site, the following information is sent to the service for the sole purpose of spam checking: commenter’s name, email address, site URL, IP address, and user agent.
Activity Tracked: The comment author’s name, email address, and site URL (if provided during the comment submission) are stored in cookies. Learn more about these cookies.
Data Synced: All data and metadata (see above) associated with comments. This includes the status of the comment and, if Akismet is enabled on the site, whether or not it was classified as spam by Akismet.
How we protect your data
Your data is secured on secure servers hosted by wordpress.com. Only those members of FLANZ Executive Committee and serve in some capacity as managers of the website have access to the data. Security measures such as two factor authentication; and any Committee Members accessing the site will have demonstrated that they have undertaken training in data protection protocols in accordance with New Zealand legislation.
What data breach procedures we have in place
Procedures in place to deal with data breaches, either potential or real, are led by the FLANZ Webmaster who will immediately on detection report them to the Secretary who will be responsible for resolving any breach and notifying anyone identified as being at risk. Anyone suspecting of a data breach should notify admin@flanz.org.nz in the first instance.
Policy Changes
We may update this privacy policy from time to time in order to reflect, for example, changes to our practices or for other operational, legal or regulatory reasons.
